What is the difference between Extensions, Phone, and Contacts?

Extensions

Synchronize extensions information on PBX, which is also called your colleagues information.

Phone

Synchronize local contacts on your mobile phone.

Contacts

Synchronize information of PBX Contacts.

PBX Contacts saves a list of external contacts, including personally managed contacts and shared company contacts. You can identify the contact type by avatars.

  • : Stands for company contact, such as company’s customers, resellers, and partners.
    Note: If you fail to see company contacts, it indicates that you don’t have the permission to view company contacts.
  • : Stands for personal contact, such as direct customers.
    Note: Personal Contacts is only visible to yourself.

 

What is extension status?

Extension status indicates the availability status of an extension.

Linkus provides five presence indicators for every extension user. Before contacting a colleague, you can refer to the following presence indicators to see if the colleague is available.

: Available. The colleague is online and ready for communication.

: Away. The colleague is away from office.

: Do Not Disturb. The colleague does not want to be disturbed, and won’t receive any calls.

: Lunch Break.

: Business trip.

 

Why doesn’t Linkus synchronize phone contacts?

Linkus does not get the permission of “read your contacts”.

You can refer to the following instructions to grant Linkus the permission of accessing your mobile phone book.

  1. On Linkus Phone page, tap Settings.
  2. Go to Permissions.
  3. Enable Contacts to allow Linkus read your contacts.

 

Why can’t I see Contacts?

  1. Contact administrator to check if PBX server is upgraded to applicable version.
    • Yeastar S-Series VoIP PBX (only for S50, S100, S300): 30.13.0.15 or later
    • Yeastar K2 IPPBX: 80.13.0.15 or later
    • Yeastar Cloud PBX: 81.13.0.15 or later
  2. Check if Linkus client is upgraded to applicable version (Path: Me > Settings > About).
    • Linkus Android Client: 2.9.6 or later
    • Linkus iOS Client: 2.9.10 or later
    • Linkus for Mac: Not supported yet
    • Linkus for Windows Desktop: Not supported yet

 

How to add a contact?

Add a contact on Contacts page

  1. On the Contacts page, tap .
  2. On the edit page, enter the contact information and decide whether to add the contact to Personal Contacts or Company Contacts.
  3. Tap .

Add a contact from Phone page

  1. On the Phone page, tap the desired contact.
  2. Tap Add to Contacts.
  3. On the edit page, enter the contact information and decide whether to add the contact to Personal Contacts or Company Contacts.
  4. Tap .

Add a contact from Call History

  1. On the Dialpad page, tap the desired contact.
  2. Tap Add.
  3. On the pop-up window, select where you want to add the contact.
    • Add to Contacts: Add the contact to the list of external contacts.
    • Add to Phone: Add the contact to the local phonebook on your mobile phone.
  4. On the pop-up window, select how you want to add the contact.
    • New Contact: Add the contact as a new contact.
    • Add to Existing Contact: Add the contact as an existing contact, and update the contact’s information.
  5. On the edit page, enter the contact information and decide whether to add the contact to Personal Contacts or Company Contacts.
  6. Tap .

 

How to delete a contact?

  1. On Contacts page, tap the desired contact.
  2. On the details page, tap  at the top right corner.
  3. On the edit page, tap Delete.
  4. On the pop-up window, tap OK.

 

How to bulk manage personal contacts?

  1. Log in PBX web interface using your own account and password.
    • Username: Enter extension email or extension number.
    • Password: Enter the User Password of extension.
  2. Go to Contacts to bulk manage personal contacts.
    1. Click Export to export all contacts information to a CSV file.
    2. Use the CSV file as a template, and save your data in the same format.
    3. On Contacts page, click Import.
    4. In the pop-up dialog, click Browser, and select your CSV file.
    5. Click Import.

      If the contact data is imported successfully, the web page will display the following confirmation:

      If you get an error prompt like the following figure, click Yes to check the log and update your data in the CSV file.

     

How can I view or manage company contacts on PBX web page?

  1. Contact administrator to check if you are allowed to view or manage company contacts.
  2. Log in PBX web interface using your own account and password.
    • Username: Enter extension email or extension number.
    • Password: Enter the User Password of extension.
  3. Go to Contacts > Company Contacts to manage company contacts.

Will contacts be lost if I uninstall Linkus client?

No.

After you create contacts, the contacts are stored in PBX.

 

Can I get back the contact information which is deleted?

No.

Contacts are synchronized between PBX and Linkus client in real time. When you delete a contact on Linkus client, the contact information will be lost on PBX.

 

Can the administrator or other users see my personal contacts?

No.

Personal contacts are only visible to the owner, other users can not see your personal contacts.
